Administrative Assistant - Full Time
Parish Demographics: St. John the Evangelist Catholic Church, located in downtown Indianapolis, Indiana is the oldest Catholic Church in the city with roots going back to 1837 and is currently seeking to hire a full time Administration Assistant. St. John’s is a growing parish with 2500 parishioners and 50% of its congregation comprised of young adults between the ages of 18-35. St. John’s serves six distinct demographics of people: Traditional Parishioners, Young Adults, University Students, Daily Mass Goers, Visitors to the City and Homeless Neighbors. St. John’s is intentional about “Opening Wide the Doors to Christ” to invite all people into our sacred place. This position will play a key role in hospitality to those we serve daily as a parish ministry team. The young adult movement in the heart of the city, combined with an outstanding traditional parishioner base, makes it a wonderful place to minister and serve. Ministry Description & Responsibilities: The purpose of this position is to provide hospitality, event and communication coordination as well as technology support for St. John’s. This role is vital in providing radical hospitality for the parish and assisting with the planning of various parish ministries and initiatives. Below are key responsibilities in each of these areas.

Education and Skills Desired:
+ Desire to work in hospitality by serving others in our parish and community
+ Organizational and administrative skills with high attention to detail
+ Ability to handle multiple projects and prioritize
+ Computer skills and proficiency in Microsoft Office (Word and Excel + Google Docs)
+ Proficiency with Adobe Creative Suite (Illustrator, InDesign, Photoshop, Adobe Rush, etc)
+ Experience in IT Administration and Technology
+ Availability during the work day with some nights and Sundays for events
+ Occasional locking of the church and parking lot
+ Experience in Parish Ministry/Life
+ Commitment to the Catholic faith and church teaching

Hospitality & Reception
- Provide hospitality to all who come to the parish office by welcoming and answering questions at the door, on the phone, and through email. This position plays a key role in welcoming visitors to the office and assisting with their needs by receiving all as Christ. “Do not neglect to show hospitality, for by that means some have entertained angels without knowing it.” -Hebrews 13:1-2
- Lead and train the St. Andre Bessette Hospitality Team that serve in the church narthex to welcome all into the church
Administrative Support
- Provide administrative support with planning and scheduling of parish ministries including monthly Mass Ministry schedule, Mass intentions, facility space usage and monthly priest coverage.
- Planning, scheduling and training for Mass Ministers
- Register and prepare new parishioner packets as well as updates to parishioner database.
- Potential locking/unlocking on assigned day
- Assist other ministry team members on special projects and other administrative duties as assigned.
Communications Coordination
- Coordinate, design and update narthex display boards that tell the story of vocation, mission and outreach at St. John’s.
- Update website and mobile app weekly to communication effectively with parishioners and friends of St. John’s about upcoming events and outreach.
- Provide quality control on printing needs for the church which include prayer cards, ministry cards, walking tour booklets, etc.
- Send communications and thank you letters on behalf of the pastor.
- Prepare and coordinate Giving Tree during Advent and Lent.
- Assist with some creative design projects as needed during peak seasons (weekly email, worship aid/bulletin, quarterly parish newsletters and annual parish calendar).
Event Coordination
- Provide event coordination and hospitality by assisting with event set ups and preparation including Missionary Discipleship Formation, Parish Council meetings, social events and other events as assigned.
- Management and coordination of Colts parking each fall.
- Assist with the planning and set up of annual Haiti Fundraising Dinners.
- Assist with the planning and set up of annual Christkindl Village (December), a major evangelization outreach and Christmas Festival of the parish.
Technology Support
- Assist with livestreaming of daily Mass and Sunday Mass as well as the recording and editing of Sunday homily for sharing on social media and parish website.
- Provide technology support by troubleshooting IT issues that arise with internet or technology needs of the parish and ministry team.
